Scheduling Coordinator

Overview 

SYNERGY HomeCare of Northwest Dallas (Plano, TX) is seeking a proven Scheduling  Coordinator (M-F, 9 am-5 pm) who would be responsible for ensuring that client care schedules are up to date and staff in order to ensure that clients are receiving the highest level of support services and continuity of care.

The Scheduling Coordinator reports directly to the Administrator and is responsible for guiding and coordinating all scheduling-related activities of the SYNERGY HomeCare business. This position includes applying leadership in day-to-day operations including maintaining positive relationships with caregivers and clients and organizing schedules to accommodate both clients and caregivers.  

Primary Areas of Responsibilities (Overview): 

  • Scheduling-related activities
  • Phone in-takes
  • Recruiting and training new-hires
  • Providing backup caregiving services as may be needed
  • Establishing trust, credibility, and positive working relationships with caregivers, clients, and client families through timely and reliable communications by phone, text, and emails

Qualifications: 

  • Demonstrated knowledge and experience of scheduling (strongly preferred), including experience working with scheduling software, e.g., eRSP or similar (preferred)
  • Possess at least one year of experience in healthcare or home care, working with the elderly, disabled, or individuals requiring supportive services (preferred) 
  • Excellence in interpersonal skills (strongly preferred)
  • Excellence in written and verbal communication skills (strongly preferred)
  • Well-honed time management skills, able to handle multiple demands on time (strongly preferred)
  • Proficiency in computer skills, e.g., Microsoft Office/Google Suite (preferred)

Essential Duties and Responsibilities:  

  • Regular communication with caregivers 
  • Regular communication with clients and their families 
  • Schedules shifts and hours by matching caregiver qualifications and availability to client’s  needs
        • Monitoring a daily visit list to be sure all caregiver shifts are completed for our clients
  • Filling in shifts when there is a change or cancel shift in a client or caregiver schedule
  • Communicates new assignments and/or schedule changes to CGs and clients
  • Processes data necessary to initiate accurate payroll and billing processes 
  • Participates in on-call rotation as assigned.  
  • General administrative/office tasks 
  • Participates in client care conferences as requested by immediate supervisor 
  • Works with Client Care Manager and Employee Care Manager to assist in the resolution of CG  issues 
  • Weekly reporting of accountabilities
